How we handle data for freight forwarding, quotes and shipments.

This Privacy Policy explains how ForwarderOne collects, uses, discloses and protects personal information when you visit our websites, request a quote, use our customer portal, book freight forwarding services, or communicate with our team.

This policy is written for business contacts, importers, shippers, consignees, suppliers, Amazon FBA sellers, vendors and website visitors who interact with ForwarderOne. If you have a separate written agreement with ForwarderOne, that agreement may contain additional terms about how shipment or service data is handled.

1. Scope

This Privacy Policy applies to information collected through ForwarderOne public websites, quote and account workflows, customer support channels, shipment coordination, customs and compliance processes, billing, marketing communications and related logistics services.

It does not apply to websites, platforms or services controlled by third parties, including carriers, customs authorities, payment processors, Amazon, marketplaces, warehouse operators, analytics providers, or social networks. Those third parties may publish their own privacy policies.

2. Information we collect

The information we collect depends on how you interact with us and what services you request.

Contact, account and business information

  • Name, company name, job title, email address, phone number, billing address, mailing address and preferred communication details.
  • Customer portal login details, account settings, service preferences and support history.

Quote, order and shipment information

  • Shipment origin and destination, shipper, consignee and notify-party details, supplier information, warehouse or Amazon FBA delivery details, pickup and delivery instructions.
  • Cargo descriptions, product categories, carton count, dimensions, weight, declared value, incoterms, HS codes, invoices, packing lists, labels, tracking events, shipment photos or files you choose to provide.

Customs, compliance and billing information

  • Importer or exporter information, powers of attorney, tax or business identifiers, government-issued identifiers where required for customs, security screening, sanctions screening, import/export compliance, or identity verification.
  • Billing contacts, payment status, invoice records, transaction references and credit or payment information handled directly by us or by payment providers.

Website, device and communication information

  • IP address, browser type, device identifiers, pages viewed, referring URLs, approximate location, cookie identifiers and analytics events.
  • Emails, chats, forms, calls, meeting notes, feedback, testimonials, survey responses and other communications you send to us.

3. How we use information

We use personal information for business and logistics purposes, including to:

  • Prepare quotes, compare air, sea, express, DDP and final-mile options, and respond to service requests.
  • Book, coordinate, document, track and manage shipments, including pickup, export, customs clearance, duties, taxes, warehousing, delivery appointments and exception handling.
  • Operate customer accounts, provide portal access, support users, send service notices and maintain shipment records.
  • Process billing, collections, account reconciliation, audits, claims, insurance support and dispute resolution.
  • Meet customs, tax, trade compliance, sanctions, security screening, legal, regulatory and recordkeeping obligations.
  • Protect our websites, systems, customers, partners and services from fraud, abuse, unauthorized access, errors and operational risk.
  • Improve our website, customer experience, logistics workflows, pricing tools, communications and marketing.
  • Send newsletters, product updates or promotional messages when permitted by law, with opt-out options where required.

4. How we share information

Freight forwarding requires controlled sharing with parties that help move, clear, store, insure, bill, secure or deliver a shipment. We may share relevant information with:

  • Ocean carriers, airlines, trucking companies, express couriers, warehouses, fulfillment centers, destination agents, customs brokers and other logistics partners.
  • Shippers, consignees, suppliers, Amazon FBA or marketplace-related recipients, 3PLs and other parties involved in the shipment you ask us to coordinate.
  • Customs authorities, port authorities, tax authorities, security screening bodies, courts, regulators, law enforcement and other government agencies when required or appropriate.
  • Payment processors, banks, accounting providers, insurers, claims administrators, auditors, legal advisors and professional service providers.
  • Technology, hosting, analytics, communications, customer support, email, security and other vendors that process information for us.
  • Successors or counterparties in a merger, financing, restructuring, sale, acquisition, bankruptcy or similar corporate transaction.

We do not sell personal information for money. We also do not intentionally disclose personal information to third parties for their own independent marketing unless you direct us to do so or consent where required.

5. Cookies and analytics

Our websites may use cookies, pixels, local storage, analytics tools and similar technologies to keep the site working, understand traffic, improve performance, remember preferences, secure sessions and measure marketing effectiveness.

Retention periods vary by data type, shipment route, customs requirement, tax rule, contract, claim, security need and applicable law. When information is no longer needed, we delete, de-identify, archive, or restrict it according to our operational and legal requirements.

We use administrative, technical and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, disclosure, alteration and destruction. No website, portal, email system, transmission method, or storage system can be guaranteed to be completely secure.

Please avoid sending unnecessary sensitive personal information by email or chat. If customs or compliance documents are required, our team will tell you what is needed for the shipment or legal process.

9. Your choices and rights

Depending on where you live and how you interact with us, you may have rights to request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or information about how your personal information is used and shared.

You may also unsubscribe from promotional emails by using the unsubscribe link in the message or by contacting us. We may still send non-promotional communications, such as shipment, account, security, billing, legal, or service notices.

To protect privacy and security, we may need to verify your identity or authority before fulfilling a request. Some requests may be limited by customs, tax, security, legal, operational, contractual, or records-retention requirements.

10. Children

ForwarderOne services are intended for businesses and individuals acting in a commercial logistics context. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can review and take appropriate action.

We may update this Privacy Policy from time to time. When we make changes, we will revise the "Last updated" date above. Material changes may also be communicated through the website, portal, email, or another appropriate channel.
